Reveal Events Group is looking for an experienced, highly organized Event Coordinator to join our team full-time at our Port Coquitlam office.
Reveal is an award-winning event management and production company specializing in live, virtual and hybrid events. From conferences and awards programs to galas, corporate celebrations and large-scale employee experiences, we produce events across British Columbia and throughout Canada.

Responsibilities
Start Date: As soon as possible
Working closely with Ownership, the Event Coordinator will support projects from the early planning stages through on-site execution and final reconciliation.
The successful candidate will also act as Lead Event Planner on projects designated by Ownership, taking responsibility for the planning, coordination and successful delivery of assigned events.
This is a hands-on role that combines project leadership, planning, administration, supplier coordination, client service and on-site event delivery. No two weeks will look exactly the same, so we are looking for someone who is adaptable, resourceful and comfortable working in a deadline-driven environment.
KEY RESPONSIBILITIES
Act as Lead Event Planner on projects designated by Ownership
Take primary responsibility for the timelines, budgets, client communications, supplier coordination, documentation and delivery of assigned events
Develop and maintain project timelines, workback schedules, task lists and event documentation
Coordinate venues, catering, audiovisual production, décor, entertainment, photography, transportation and other event suppliers
Request, organize and review supplier proposals and quotes
Track project budgets, expenses, contracts, deposits and invoices
Schedule meetings and prepare agendas, notes, action lists and follow-up communications
Support guest registration, attendee communications, travel, accommodations, dietary requirements and accessibility needs
Prepare event specifications, production schedules, staffing plans, floor plans, run-of-show documents and supplier briefings
Maintain accurate and organized digital project files
Communicate professionally with clients, venues, suppliers, sponsors, speakers and event guests
Support event setup, registration, supplier coordination, show execution and teardown
Anticipate challenges, identify solutions and remain calm when plans change
Assist with final reconciliations, post-event reporting and project closeout
Contribute wherever needed to help the team deliver an exceptional event
WHAT WE OFFER
A salary of $49,000–$58,500 per year, based on experience

Requirements
A minimum of five years of professional experience in a similar event planning or coordination role
The confidence and experience to independently lead assigned event projects
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
Confidence managing multiple projects, priorities and deadlines
Experience working directly with clients and external suppliers
Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, SharePoint and Microsoft Planner
Experience with event registration platforms such as PheedLoop, Trellis, Eventbrite, etc. is an asset
Experience preparing event budgets, production schedules and run-of-show documents is an asset
A practical, solutions-focused approach and the ability to remain composed under pressure
The judgment to work independently and the willingness to ask questions when needed
A collaborative attitude, strong sense of accountability and willingness to pitch in
The ability and willingness to work early mornings, evenings and weekends as required by event schedules

Schedule
The regular schedule for this position is in-office at our Port Coquitlam location, Monday to Friday from 9:00 a.m. to 5:00 p.m.
However, event work does not always fit neatly into a traditional Monday-to-Friday schedule. The successful candidate must be prepared to work on-site at events, including early mornings, evenings or weekends. On event days, working hours may shift to meet the needs of the project.
There can be long days and changing priorities, but there is also tremendous satisfaction in seeing months of planning come together and knowing you helped create an experience people will remember.
