Seamless Virtual Event Production for the 2025 New Jersey Planning & Redevelopment Conference

Reveal Events Group supported the virtual delivery of one of New Jersey’s most prominent planning conferences, overseeing speaker coordination, session production, and live event execution across two days of CE-accredited online programming.

Reveal Events Group partnered with New Jersey Future and APA New Jersey to manage the virtual components of the 2025 New Jersey Planning & Redevelopment Conference (NJPRC25), a hybrid event focused on advancing smart growth, equitable redevelopment, and sustainable planning across the state. While the full event included an in-person day in New Brunswick, our team was solely responsible for the production, management, and live broadcast of the two virtual days on June 11–12, hosted through the PheedLoop platform and Zoom.

The program included 16 pre-recorded sessions and 3 fully live webinars. With nearly 90 speakers across both formats, the client required a delivery experience that felt seamless and live. Our team coordinated all speaker recordings, provided virtual backstage management during live sessions, and ensured real-time support for a smooth, high-impact experience.

The Experience

Preparation began months in advance with the coordination and recording of 16 educational sessions, all designed for CE accreditation. We scheduled, hosted, and directed each session via Zoom, offering speaker coaching and technical support to ensure smooth transitions and professional delivery. Our team stayed hands-on throughout each recording, stepping in to manage retakes, smooth over speaker handoffs, and ensure a fluid final product.

After recording, each session was carefully edited to eliminate distractions and maintain a cohesive, natural flow—designed to feel indistinguishable from a live webinar. For two attorney-focused sessions, we also incorporated mandatory CE keyword markers into the videos to comply with certification requirements.

On June 11 and 12, Reveal Events Group managed the timed release and broadcast of all 19 sessions—16 pre-recorded and 3 live. We oversaw four concurrent session tracks at a time, monitored session playback, supported the attendee help desk, and directed the live webinars behind the scenes. This included managing speaker views, activating polls, providing real-time cues, and serving as a virtual stage manager to ensure each presentation stayed on time and ran smoothly.

Once each session concluded, we took the feed offline immediately to preserve the illusion of a true live broadcast. Following the event, we re-uploaded clean, edited versions of all recordings to the PheedLoop portal for on-demand access by registered attendees.

The Impact

Reveal Events Group delivered a polished, technically flawless virtual conference that enhanced the attendee experience and met all CE delivery requirements. All sessions were executed without interruption, live webinars ran seamlessly, and speaker teams were able to stay focused on content while we handled everything behind the curtain.

The client’s goal of delivering a virtual event that felt live was met with resounding success, thanks to thoughtful planning, precise execution, and dedicated live support throughout. With more than 850 attendees engaging with the content and no reported playback issues, the virtual portion of NJPRC25 was a clear win—and we’re proud to have been rebooked to support the 2026 event.
